Get comfortable and familiar with The Pomodoro Technique.<\/p>\n<p>The Pomodoro technique is talked about EVERYWHERE.<\/p>\n<p>Basically: You work for an uninterrupted span of time (usually 25 minutes), then take a five minute break. After a few Pomodoros strung together or finishing a task, you take a longer break.<\/p>\n<p>During these Pomodoros there are NO distractions allowed, no changes and no \u201cI\u2019m just going to get some coffee real quick.\u201d<\/p>\n<p>The Pomodoro technique has been <a href=\"https:\/\/web.archive.org\/web\/20180702231047\/https:\/\/caps.ucsd.edu\/Downloads\/tx_forms\/koch\/pomodoro_handouts\/ThePomodoroTechnique_v1-3.pdf\">scientifically proven<\/a> to help make people more productive, providing a good framework of how to structure your work day.<\/p>\n<p>That being said\u2026.<\/p>\n<p>2. You can only output a maximum of 4-5 hours of productive work a day, and should plan your day based on that.<\/p>\n<p>There\u2019s a sick disease that came into play with the introduction of author\/entrepreneur Tim Ferriss\u2019 book, <a href=\"https:\/\/www.amazon.com\/4-Hour-Workweek-Escape-Live-Anywhere\/dp\/0307465357\">The Four-Hour Work Week<\/a>: It\u2019s the thinking that if we can keep fine tuning our productivity to do more, then we should work AS MANY HOURS as we can during the day.<\/p>\n<p>But in an article by Crew, they cite <a href=\"https:\/\/medium.com\/who-what-why\/why-you-shouldnt-work-set-hours-c9b767524450\">scientific studies<\/a> of how a person can only really do a maximum of 4-5 hours of productive work a day.<\/p>\n<p>And ask yourself: Why are you really working? If you\u2019re like most people, it\u2019s so that you can do fun stuff (passions, hobbies, etc.) or spend time with people you love after you finish.<\/p>\n<p>The answer is to PRIORITIZE and DELEGATE tasks, or SYSTEMIZE things so that things can run without you \u2026 and accept that you can only do so much.<\/p>\n<p>Don\u2019t try to fit more in, which is sure to lead you to burn out.<\/p>\n<p>3. Get physical activity and meditate everyday.<\/p>\n<p><a href=\"https:\/\/markmanson.net\/meditation\">There are so many benefits<\/a> to exercising and meditation that it\u2019s stupid NOT to do them: Decreased stress, clearer thinking, more grey matter being built in the brain and more.<\/p>\n<p>Meditation helps you disassociate from your thoughts and emotions and the stories you tell yourself, so you can clearly see what\u2019s going on and move forward.<\/p>\n<p>Now, the brain is what helps you do your work and the body carries it. But if you don\u2019t move your body, both will decay.<\/p>\n<p>Most of us sit at desks in front of computers all day and we were NOT meant for this &#8211; get up and MOVE.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3048\" src=\"https:\/\/focusme.com\/wp-content\/uploads\/2016\/08\/balcony.jpg\" alt=\"balcony\" width=\"1200\" height=\"797\" \/><\/p>\n<p>4. Learn about what nootropics are.<\/p>\n<p>Nootropics, or \u201csmart drugs,\u201d are a class of compounds people use to give them cognitive boosts. Get into an accountability or mastermind group.<\/p>\n<p>Speaking of deadlines, the use of accountability is an essential way to get things done.<\/p>\n<p>Basically, we can buy into our own nonsense. But, if we tell someone else what we intend to do, then we can\u2019t really \u201cget out\u201d of things.<\/p>\n<p>Accountability groups help you stay on track and not get distracted by nonsense thoughts in your brain. You can also put money down on finishing your goals by a certain time.<\/p>\n<p>Groups of people forming together, sharing ideas and holding each other accountable, are known as mastermind groups. They are a staple for every productive person and the sooner you find one, the better.<\/p>\n<p>7. Socializing and recharging activities are IMPORTANT. Learn what yours are, and do them EVERYDAY.<\/p>\n<p>Again, while work, responsibilities and making a living are important, don\u2019t forget to make a life while you do them.<\/p>\n<p>Spend your time after work enjoying recharging activities and being with people you love. Make sure you TALK TO PEOPLE everyday versus sticking with the isolation our headphone generation is so prone to.<\/p>\n<p>Use a simple site blocker to force yourself away from the computer if you have to.<\/p>\n<p>When it\u2019s work time, stay focused, but don\u2019t forget to get up and go outside.<\/p>\n<p>8. Use a simple calendar.<\/p>\n<p>Having a simple calendar, like <a href=\"https:\/\/calendar.google.com\/calendar\/render\">Google Calendar<\/a>, is essential to keep your appointments in order &#8211; professional, personal, health or otherwise.<\/p>\n<p>You can use a calendar integration tool like <a href=\"https:\/\/calendly.com\/\">Calendly<\/a> (the basic version is free!), to look super professional and have people schedule appointments to talk to you.<\/p>\n<p>9. Get a task management tool like ASANA.<\/p>\n<p>To keep everything organized, you\u2019ll need a project management tool. Here, you can put personal projects, and work projects as well, broken down into the tasks you have to accomplish for each project.<\/p>\n<p>There are TONS of great ones out there, but <a href=\"https:\/\/asana.com\/\">ASANA <\/a>is loved by many and is free for personal use.<\/p>\n<p>10. Get 7-8 hours of uninterrupted sleep a night.<\/p>\n<p>While there are polyphasic sleep schedules you can try, most people are going to need 7-8 hours of sleep a night.<\/p>\n<p>DO NOT mess around with this. Short term, maybe, when there\u2019s a deadline you really need to hit. But, long term sleep deprivation has <a href=\"https:\/\/www.webmd.com\/sleep-disorders\/features\/important-sleep-habits\">disastrous effects to your health<\/a>.<\/p>\n<p>Don\u2019t sacrifice your health for some work.<\/p>\n<p>11. Do a weekly review.<\/p>\n<p>Doing a weekly review is essential to not only determine your priorities for the coming week, but it\u2019s also great for looking back at what went right the week before and what you need to improve on.<\/p>\n<p>Check out <a href=\"https:\/\/www.developgoodhabits.com\/weekly-meeting\/\">this article<\/a> for a good outline of how to do a weekly review.<\/p>\n<p>12. Batch similar or \u201cmind numbing\u201d tasks.<\/p>\n<p>Another concept popularized by Ferriss\u2019 book was that of \u201cbatching.\u201d<\/p>\n<p>Many people keep their e-mails open and constantly get distracted\/interrupted. <a href=\"https:\/\/en.wikipedia.org\/wiki\/Interruption_science\">Task interruption<\/a> is a real thing and it makes it much harder to achieve a <a href=\"https:\/\/en.wikipedia.org\/wiki\/Flow_(psychology)\">flow state<\/a> and do productive work.<\/p>\n<p>When it comes to similar tasks, put them together into a chunk of time, assign that time and then stick to it.<\/p>\n<p>For example: I will check e-mails between 10-11 a.m. and 1-2 p.m. You might want to consider using a net blocker or app to help you with this (blocking your e-mail except between those time slots).<\/p>\n<p>If people REALLY need to get a hold of you, they\u2019ll find a way.<\/p>\n<p>They\u2019re too busy with their own world to worry about one e-mail.<\/p>\n<p>Here are examples of things you should batch:<\/p>\n<ul>\n<li>E-mails<\/li>\n<li>Phone calls<\/li>\n<li>Making food<\/li>\n<li>Errands<\/li>\n<li>Etc<\/li>\n<\/ul>\n<p>13. DO NOT multitask.<\/p>\n<p>Multitasking does NOT exist. The human mind can only do ONE thing at a time.<\/p>\n<p>Delegation and creating systems to work in while you actively focus on something else is one thing, but you, yourself, can only do one thing at a time.<\/p>\n<p>So, no TV + work. No two screens working on two different things.<\/p>\n<p>Do one thing. Finish it. Move on to the next.<\/p>\n<p>14. Take frequent breaks.<\/p>\n<p>You can\u2019t work for hours straight and be productive.<\/p>\n<p>Have you ever noticed that after an hour or so of work, you\u2019ll start to get tired?<\/p>\n<p>Your mind and body are telling you that they need time away from the screen.<\/p>\n<p>And that\u2019s not only for your mind to recharge, it\u2019s to save your eyes from being burned out.<\/p>\n<p>Take five minute breaks every Pomodoro. Take longer breaks every hour. Eat lunch. Get to the gym.<\/p>\n<p>You\u2019ll work FASTER because of all this!<\/p>\n<p>Speaking of which\u2026.<\/p>\n<p>15. Take a full day off every week.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-3049\" src=\"https:\/\/focusme.com\/wp-content\/uploads\/2016\/08\/feet.jpg\" alt=\"feet\" width=\"1200\" height=\"901\" \/><\/p>\n<p>You know the <a href=\"https:\/\/en.wikipedia.org\/wiki\/Pareto_principle\">80\/20% rule?<\/a> Well, it applies to working as well.<\/p>\n<p>If you work six days a week, don\u2019t worry about taking one day off.<\/p>\n<p>Taking one day (or a \u201cSabbath\u201d) COMPLETELY off is SO recharging (as long as you do activities that recharge you then), that it should be non-negotiable.<\/p>\n<p>Some people even institute \u201cno screen\u201d rules, where they can\u2019t look at their laptops, only use their phones for coordinating plans with friends and can\u2019t even watch TV, unless they watch with someone else.<\/p>\n<p>16. Get comfortable and learn how to say \u201cNo.\u201d<\/p>\n<p>While there\u2019s tons of stuff out there about doing MORE, you should focus on doing the important stuff, which is often accomplished by doing LESS.<\/p>\n<p>You\u2019re only human and can only do so much. In the age of internet, smartphones, virtual assistants and more \u2026 remember, that you\u2019re still only human.<\/p>\n<p>Get in the habit of saying no and be comfortable with people being a bit upset. You can focus on what matters, be happier and end up doing more in the end, simply by saying \u201cno.\u201d<\/p>\n<p>17. Build flexibility into your schedule.<\/p>\n<p>Some people plan their schedule down to the minute and become stressed when things take longer than they thought\u2026.<\/p>\n<p>Newsflash: EVERYTHING takes longer than you thought.<\/p>\n<p>Add 5-30 minute buffers everywhere you can in your schedule, so you\u2019ll be able to handle things going on later than you thought.<\/p>\n<p>This applies to projects as well: Double the time you think it\u2019ll take to complete<\/p>\n<p>and add buffer days for extra work\u2026.<\/p>\n<p>Your lower stress levels will thank you for all this later.<\/p>\n<p>18. Kill procrastination and time wasting activities using a net blocker.<\/p>\n<p>The final step is to use the great apps to help you with your goal.<\/p>\n<p>This is especially important now with more and more Facebooks, Reddits, YouTubes, etc. coming up everyday.<\/p>\n<p>There\u2019s certainly not a lack of things trying to <a href=\"https:\/\/markmanson.net\/attention\">steal your attention and focus<\/a>.<\/p>\n<p>You can use tools to block these sites and remain focused. Simply learn how to block specific URLs.<\/p>\n<p>Apps like <a href=\"https:\/\/focusme.com\/\">FocusMe<\/a> can keep you on point, ensuring you manage your time well and don\u2019t spend time where you don\u2019t want to.<\/p>\n<p>Without apps like these, you\u2019ll be fighting a willpower battle to stay off those sites \u2026 and you only have so much willpower.
