{"id":65166,"date":"2019-05-22T03:05:28","date_gmt":"2019-05-22T02:05:28","guid":{"rendered":"https:\/\/focusme.com\/?p=65166"},"modified":"2025-02-11T12:30:09","modified_gmt":"2025-02-11T12:30:09","slug":"take-your-productivity-to-the-next-level","status":"publish","type":"post","link":"https:\/\/focusme.com\/blog\/take-your-productivity-to-the-next-level\/","title":{"rendered":"Deep Work, Part 2 \u2014 Take Your Productivity to the Next Level"},"content":{"rendered":"<p><strong>Deep work \u2014 an essential skill to get ahead in life<\/strong><\/p>\n<p>Last time, we discussed Deep Work, what it is, why it is important and how you can measure it. Simply put, this was the thesis:<\/p>\n<p>Deep Work is work that is extremely valuable to employers. It takes deliberate effort, and it is not very easy. Although shallow work still requires a basic knowledge and intellectual capacity, Deep Work takes it a few steps further: it requires <strong>intense<\/strong> focus and concentration. In this distracted world of YouTube, apps and social media, the ability to perform Deep Work is not commonplace.<\/p>\n<p>That means the ones who <strong><em>are able to perform Deep Work<\/em><\/strong> are very valuable commodities in the labour market, will have a larger impact in their workplace, and tend to have much better career options.<\/p>\n<p>Here are some examples of tasks that don\u2019t, and tasks that do require Deep Work.<\/p>\n<p><strong>Tasks that don\u2019t require Deep Work:<\/strong><\/p>\n<ul>\n<li>Checking your e-mail<\/li>\n<li>Entering numbers into an Excel file<\/li>\n<li>Scanning documents<\/li>\n<\/ul>\n<p>These are tasks that only require a basic level of IT skills, and don\u2019t require a significant intellectual effort.<\/p>\n<p><strong>Tasks that do require Deep Work:<\/strong><\/p>\n<ul>\n<li>Writing a PhD. dissertation<\/li>\n<li>Writing a novel<\/li>\n<li>Creating a business plan<\/li>\n<\/ul>\n<p>All the above require at least an above-average level of intellectual effort, and more importantly, intense focus. Because they are so difficult, the temptation to seek distractions and procrastinate is very high. They are not easy to replicate, and not everyone can perform these tasks.<\/p>\n<p>That being said, that which constitutes Deep Work can vary from person to person.<\/p>\n<p>For a five-year old who\u2019s just begun to learn the alphabet, reading a newspaper is extremely hard and requires intense focus. For an adult, reading the paper is a pretty shallow task.<\/p>\n<p>So Deep Work can be relative too.<\/p>\n<p><strong>Did you do your homework?<\/strong><\/p>\n<p>Last time, I also asked you to do some \u2018homework\u2019. More specifically, I asked you to keep track of the amount of Deep Work you performed during your workday.<\/p>\n<p>I asked you to measure:<\/p>\n<ul>\n<li>How much time you spent doing Deep Work during the day<\/li>\n<li>What was the longest uninterrupted streak of Deep Work you were able to do<\/li>\n<li>And how many times you got distracted and performed shallow tasks<\/li>\n<\/ul>\n<p>If you were able to do this, you should\u2019ve noticed two things.<\/p>\n<ol>\n<li>You <strong>became aware<\/strong> of how little time you actually spent doing meaningful work and how much time you were wasting doing shallow tasks \u2014 stuff like checking e-mail every half hour (if not more)<\/li>\n<li>You actively started to do <strong>more Deep Work<\/strong> and <strong>less shallow tasks<\/strong>. Once you are aware of the fact that you\u2019re wasting your time, you\u2019re more likely to say: I shouldn\u2019t be doing this. This is a technique that is often used with dieters too: they have to write down what they eat during the day, so they don\u2019t fool themselves and underestimate how much crap and excess calories they are taking in.<\/li>\n<\/ol>\n<p><img fetchpriority=\"high\" decoding=\"async\" width=\"2048\" height=\"1324\" class=\"wp-image-65168\" src=\"https:\/\/focusme.com\/wp-content\/uploads\/2019\/04\/word-image-9.jpeg\" srcset=\"https:\/\/focusme.com\/wp-content\/uploads\/2019\/04\/word-image-9.jpeg 2048w, https:\/\/focusme.com\/wp-content\/uploads\/2019\/04\/word-image-9-300x194.jpeg 300w, https:\/\/focusme.com\/wp-content\/uploads\/2019\/04\/word-image-9-768x497.jpeg 768w, https:\/\/focusme.com\/wp-content\/uploads\/2019\/04\/word-image-9-1024x662.jpeg 1024w, https:\/\/focusme.com\/wp-content\/uploads\/2019\/04\/word-image-9-1000x646.jpeg 1000w\" sizes=\"(max-width: 2048px) 100vw, 2048px\" \/><\/p>\n<p><em>How much time have you wasted on meaningless tasks? Be honest.<\/em><\/p>\n<p>As you might have noticed, tracking your time can be extremely valuable.<\/p>\n<p>But there are other principles you can apply to increase your Deep Work and get more real work done.<\/p>\n<p><strong>Things you should do to make your time more valuable<\/strong><\/p>\n<p><strong>Strategy #1 \u2014 Cultivate Deep Work Habits<\/strong><\/p>\n<p>As we\u2019ve discussed in our articles about <a href=\"https:\/\/focusme.com\/blog\/building-strong-and-powerful-habits\/\">building good habits<\/a> and <a href=\"https:\/\/focusme.com\/blog\/how-to-get-rid-of-bad-habits\/\">getting rid of bad habits<\/a>, you can only create true change in your life if you create routines.<\/p>\n<p>If you want to be able to do something consistently, you have to build the brain circuits that allow you to perform tasks <strong>without the need for willpower<\/strong> and <strong>without active intervention<\/strong>. You should basically program yourself like a computer.<\/p>\n<p>You do this by using <strong>a cue, a behavior and a reward<\/strong>. (check out the links above for the details).<\/p>\n<p>So, for example, if you have to study for an exam (arguably deep work), you make it a habit to get up, eat your breakfast, and immediately start studying after that.<\/p>\n<p>It used to be that during exam periods, I woke up, ate breakfast&#8230;and proceeded to watch YouTube for \u2018a few minutes\u2019. And you know how it goes. A few minutes becomes a few hours. In the meantime, no deep work has been done.<\/p>\n<p>But making studying the first thing you do into a consistent habit makes it so much easier to do it effortless.<\/p>\n<p>In this case, <strong>the cue is \u2018breakfast eaten\u2019<\/strong>. The <strong>behavior is \u2018studying\u2019<\/strong>. The<strong> reward can be anything<\/strong>, but preferably <strong>make it something that can\u2019t lead to time wasted<\/strong>. A excellent reward would be a workout. It\u2019s good for you AND gives you a rewarding dopamine rush.<\/p>\n<p>If that\u2019s not your thing, rewarding yourself with a few cookies will do just fine as well. Pick your poison.<\/p>\n<p>On a side note, I wouldn\u2019t reward myself with a few episodes of Game of Thrones. While I can\u2019t workout all day, it is possible to \u2018watch another episode&#8230;and another&#8230;and another&#8230;and \u2018just one more\u2019&#8230;you get the picture.<\/p>\n<p><strong>Strategy #2 \u2014 Act as if you\u2019re a business<\/strong><\/p>\n<p>If you want to be productive, you have to take an example of organizations that make productivity their main focus: businesses. In business, getting stuff done is the most important thing. Businesses that aren\u2019t productive are weeded out of the marketplace. Employees that aren\u2019t productive get fired.<\/p>\n<p>To improve their productivity and make more money, businesses implement strategies and well-thought-out plans. One such set of strategies is called 4DX \u2014 The Four Disciplines of Execution \u2014 basically a set of rules that businesses should follow to succeed.<\/p>\n<ul>\n<li><strong>The first Discipline of Execution is that you have to focus on the wildly important.<\/strong> People often like to spread their attention over a multitude of tasks, and pretend that this is the way to get a lot done. But the reality is that the more you try to do, the less you\u2019ll actually accomplish. <strong>Not all goals are equally important.<\/strong> Choose a few ambitious goals and use deep work to accomplish them.<\/li>\n<li><strong>The second Discipline of Execution is to act on the lead measures. <\/strong>This is a concept that requires some explanation. As the famous management guru Peter Drucker says: <em>\u2018what gets measured gets managed\u2019.<\/em> Words well-spoken, but it\u2019s important that you <strong>measure the right things<\/strong>, the things you can immediately act on. The amount of customers you have is what determines success, but you have no direct control over this. This is what is called a <strong>\u2018lag measure\u2019<\/strong>. What you do have control over, is the measures you take to increase your customers, for example increasing your marketing budget, or simply making a higher quality product. These are <strong>lead measures<\/strong>, and if you improve them, your lag measure (the amount of customers) will most likely improve too. In this case, <strong>the time spent in Deep Work should be your lead measure<\/strong>. All the rest will follow.<\/li>\n<\/ul>\n<p><img decoding=\"async\" width=\"2000\" height=\"1751\" class=\"wp-image-65169\" src=\"https:\/\/focusme.com\/wp-content\/uploads\/2019\/04\/word-image-10.jpeg\" srcset=\"https:\/\/focusme.com\/wp-content\/uploads\/2019\/04\/word-image-10.jpeg 2000w, https:\/\/focusme.com\/wp-content\/uploads\/2019\/04\/word-image-10-300x263.jpeg 300w, https:\/\/focusme.com\/wp-content\/uploads\/2019\/04\/word-image-10-768x672.jpeg 768w, https:\/\/focusme.com\/wp-content\/uploads\/2019\/04\/word-image-10-1024x897.jpeg 1024w, https:\/\/focusme.com\/wp-content\/uploads\/2019\/04\/word-image-10-1000x876.jpeg 1000w\" sizes=\"(max-width: 2000px) 100vw, 2000px\" \/><\/p>\n<p><em>Managing your life as if it were a business can be a great way to become better at what you do &#8211; just don\u2019t start asking consultancy fees when your girlfriend asks you what to wear.<\/em><\/p>\n<ul>\n<li><strong>The third Discipline of Execution: keep a compelling scoreboard. <\/strong>We actually already went over this one when I gave you the homework in part 1. If you keep track of the amount of Deep Work you perform, you\u2019ll be more likely to want to increase your performance. <strong>Having reliable stats on your time spent in Deep Work will prevent you from fooling yourself<\/strong>. It will also <strong>provide a desire to improve<\/strong>. It\u2019s like working out \u2014 you want to increase the amount of weight you can lift and decrease the amount of time you need to run 5K. If you don\u2019t keep score, it\u2019s hard to see if you\u2019re improving, and you won\u2019t get any better.<\/li>\n<li><strong>The fourth Discipline of Execution is to create a cadence of accountability.<\/strong> Businesses have meetings and keep track of everyone\u2019s performance. <strong>This creates peer pressure and feedback about how you\u2019re doing.<\/strong> If you don\u2019t perform, others will hold you accountable. If you\u2019re working by yourself (like when you\u2019re studying), there is no peer pressure, but you can still create accountability by doing weekly reviews of your own performance. The most important part is that you <strong>do this regularly<\/strong> (hence, the term \u2018cadence of accountability\u2019).<\/li>\n<\/ul>\n<p><strong>Let\u2019s take a small break.<\/strong><\/p>\n<p>For now, we\u2019ve gone over a lot of useful strategies to implement. These strategies will greatly improve your ability to get a lot of deep work done. If you implement these, you will increase your performance and become more valuable (and better paid!).<\/p>\n<p>However, trying to do too much at once is a recipe for disaster (remember the first discipline of execution).<\/p>\n<p>So, what I suggest right now is that you take some time to implement the above suggestions and turn them into habits.
